This job collaborates with end users, including service line leaders, and vendors to ensure procurement is aligned to business needs and vendor requirements are upheld. Provides oversight to purchasing division on strategic initiatives and assists with the execution of procurement strategy in all purchasing functions (including capital and products/goods/medical supplies), procure to pay continuum, payment discrepancy resolution, contract management for the System, and policy compliance. Collaborates with Supply Chain leadership to drive supply chain initiatives at the system level and works with local facility leadership to ensure divisional goals are kept as a primary focus. Partners with Supply Chain leadership and key Supply Chain sub-divisions, including Sourcing, Logistics, Enterprise Resource Planning/Supply Chain IT and Value Analysis to ensure all supply chain-related goals and objectives are met.

Education

Required - Bachelor’s degree in related field

Preferred - Master’s degree in related field

Work Experience

Required - 5 years of experience in healthcare operations or procurement, including 2 years of leadership experience.

Preferred - experience in Supply Chain

Knowledge Skills and Abilities (KSAs)

  • Must have computer skills and dexterity required for data entry and retrieval of information.

  • Effective verbal and written communication skills and the ability to present information clearly and professionally to internal and external leaders.

  • Must be proficient with Windows-style applications, various software packages specific to role, and keyboard including Microsoft Office, Excel VBA and Supply Chain Information Systems.

  • Strong interpersonal skills are a must in order to coordinate and align supply chain strategic initiatives, drive down supply spend, and ensure continuous optimal communication and rapport with clinical staff is maintained.

  • Ability to implement strategic initiatives to frontline supervisors and staff within procurement.

  • Working knowledge and complex data analysis with pre-programmed databases, ERP systems, purchasing platforms, capital expenditure datasets, etc.

  • Reporting skills for high volume metrics to track department performance and distribute resources where necessary

  • Ability to perform multiple tasks simultaneously, delegate effectively, and prioritize labor amongst staff which aligns with priorities of executives within supply chain and organization.

  • Working knowledge of top tier healthcare analytical platforms to quickly review and make decisions under high stress and ambiguous circumstances.

  • Communication abilities required in order to actively motivate staff, educate clinical end users, coordinate amongst various sites and organizations. 

  • Leadership skills to create a team environment and maximize staff efficiency.

Job Duties

  • Manages Procurement staff, including developing and employee engagement, recruitment, and timecards.

  • Manages and troubleshoot daily operations to provide purchasing staff most efficient protocols for addressing daily backorders, Accounts Payable discrepancies, Accounting and funds creation, and any other ordering related concern for the successful operations of departments systemwide.

  • Assists with the development and implementation of procurement strategies and policies aligned with company objectives, including product standardization, price-leveling and cost containment, automation and IT landscape consolidation/integration.

  • Works with Strategic Sourcing, in conjunction with procurement staff, to establish blanket, standing, lease, & service PO setup.

  • Assists Procurement leadership and Supply Chain executives with Partnerships, clinic conversions, and large hospital integrations with contract compliance, market spend analysis and coordination, operational initiatives, and other and develops purchasing initiatives accordingly.

  • Develops creative solutions to resolve Supply Chain operational issues, including but not limited to: INR Reduction, DSO Reduction, Invoice Discrepancy, Special Purchasing Projects, as needed.

  • Work with Accounts Payable, Audit, Accounting, FF&E, and other key administrative divisions to ensure Purchasing Policies are adhered to, including but not limited to: Research and Education of Grant Procurement Policies, Contracted Vendor Compliance, PO Setup, and Accounting Principles.

  • Negotiates operational terms with suppliers, as needed. 

  • Audits to ensure market commitments to are met to be eligible for reimbursements and compliance purposes with vendors.

  • Assumes responsibility for mitigating supply back-order issues, and escalates to higher Procurement leadership, as needed.

  • Performs other related duties as assigned.
