This job communicates with manager/directors and end users to optimize scheduling ease and improve/increase appointment access. Consistently works with other regions to obtain standardization of scheduling process across providers, departments and regions; and assumes responsibility for developing and distributing daily, weekly monthly, quarterly and annual reports to the regional leadership team.

Education 

Required - High School diploma or equivalent

Preferred - Bachelor's degree

Preferred -Additional degrees,  business training experience and/or certifications may be combined to meet minimum qualifications.


Work Experience

Required - 4 years experience in clerical operations at a hospital, clinic, medical office, business services/revenue cycle, front line registration, financial counseling, banking, hotel, retail and/or customer service related position.
Technical knowledge of healthcare provider scheduling.


Certifications

Preferred- Certified Healthcare Access Manager, Certified Healthcare Access Associate, Certification as a Medical Assistant (or other medical specialty-based certification)

Knowledge Skills and Abilities (KSAs)

  • Must have computer skills and dexterity required for data entry and retrieval of required job information.
  • Must be proficient with Windows-style applications and keyboard.
  • Excellent verbal and written communication skills and the ability to present information clearly and professionally to varying levels of individuals throughout required job processes.
  • Customer service focused with demonstrated ability to gather and disseminate information through effective communication with a diverse range of people, either in person or over the phone.
  • Good judgment skills in handling/escalating difficult situations.
  • Good organizational, time management, interpersonal, and conflict resolution skills.
  • Extensive analytical skills to create service availability analysis out of raw data to demonstrate consistent schedule utilization.
  • Self-directed with the ability to prioritize tasks to meet the needs of the Financial Services department and the clinical areas.

Job Duties
•  Assist manager/Director with requesting a new department to be built in Epic in a timely manner.
•  Notify Epic team of department name and physicians who will be practicing in new department.
•  Timely processing of provider and ancillary schedules to allow optimum access for appointment coordinators.
•  Meet with managers, directors, and providers as needed to assist with modification and support of current practices to accommodate their need and patient needs.
•  Notify the manager/director of any patients affected by departure so they may be moved to another provider’s schedule.
